1-IDENTITY
The organisation shall be known as Bournemouth Beach Hut Association, hereafter known as BBHA.
2-Objectives
The objectives of BBHA shall be:-
2-1 To liaise with representatives of Bournemouth Council to obtain the best possible licence terms for members renting sites or huts from Bournemouth Council.
2-2 To offer advice to members regarding maintenance, insurance, security and any other appropriate benefits that may arise from time to time and to provide a forum for members to exchange views.
2-3 To offer advice to members in any disputes arising between tenants or Bournemouth Council.
2-4 To Liaise with representatives of Bournemouth Council, as necessary, concerning any matters relating to the Seafront and beaches.
3-Structure
3-1 BBHA shall comprise of:- Chairperson, Vice-Chairperson, Secretary, Treasurer, Committee Members and General Members.
3-2 Officers and committee members shall be elected at AGM, having previously confirmed their willingness to stand for election.
3-3 Additional members may be co-opted at any time during the BBHA year.
3-4 All officers and Committee, including those co-opted, shall have one vote at any committee meeting with the Chair having the casting vote.
3-5 Membership is open to anyone who has a licence for a site or hut from Bournemouth Council.
3-6 The AGM is open to members and non-members, the latter having no voting rights.
4-Meetings
4-1 There shall be a BBHA AGM held no later than the first of December each calendar year.
4-2 Committee meeting shall be held at the discretion of the Chairperson.
4-3 An Extraordinary General Meeting may be called by the Chairperson if requested by any member of the committee or twenty members, serving a written request to do so.
4-4 The quorum for meetings shall be:-
a-AGM- twenty members
b-Committee meeting-Four members
4-5 Fourteen days notice of any meeting shall be given to all members, whenever possible.
5-Finance
5-1 Annual income shall be derived from:-
5-2 The annual Subscription shall be agreed at the AGM or Extraordinary General Meeting.
5-3 BBHA shall maintain a bank account with any bank or building society as agreed by the committee.
5-4 All cheques must be signed by two designated officers.
5-5 No funds shall be used for any purpose that conflicts with the objectives of BBHA.
5-6 Claims for reimbursement of expenses must be submitted to the Treasurer with appropriate receipts.
5-7 The Treasurer shall maintain a record of income and expenditure which shall be available for audit, if requested.
5-8 A copy of the balance sheet shall be available to any member who requests a copy.
5-9 Subscriptions shall be due on 1 May annually, but new members who join from 1 March shall be deemed to have paid up membership until 30 April the following year.
5-10 Fees for affiliation of BBHA to any other organisation shall be agreed by the committee at the time of any such affiliation.
